Ask Brigid is practice software built for speed. Brigid Clinical Intelligence takes on the admin, and patients pay by card through a link.
A clinic invoice needs an owner, a checked recipient and a payment status the team can trust. Before adding more automation, make the current process visible: what was provided, what was invoiced, what was paid and what still needs a person’s attention.
This guide covers administrative checks. Your practice’s accountant, tax adviser and insurer agreements remain the sources for accounting, tax and reimbursement decisions.
Check the invoice before it leaves the practice
Agree which staff member prepares the invoice and who confirms it. Check the patient or other authorised payer, service description, amount and recipient. Keep the billing contact separate from permission to receive clinical information.
- Can staff identify the appointment or service the charge relates to?
- Has the amount been checked against the clinic’s agreed charges?
- Is the invoice going to the correct person or organisation?
- Is any discount, correction or cancellation recorded?
These are review questions, not a guarantee that every invoice will be paid or reimbursed.
Distinguish a payment request from a confirmed payment
Sending an invoice or opening a payment link does not mean payment has completed. Ask your software supplier to demonstrate successful, pending and failed payment outcomes with test data. Check how staff resolve a mismatch between an invoice and the payment provider’s record.
In Brigid, payment status depends on Stripe confirmation. Live payment routes require the approved clinic configuration; saved-card charges require the approved workflow and patient authority. Review the billing page for current boundaries.
Make outstanding work a staff-owned list
Choose a regular review point for unpaid invoices and unresolved exceptions. Assign an owner and next action to each item. Before contacting a patient, check whether payment has arrived, whether the amount is disputed and whether another staff member is already dealing with it.
Do not infer permission to send an automatic message from the existence of an unpaid balance. Confirm the recipient, channel and wording through the clinic’s approved process.
Keep insurer work separate from patient payments
Automated insurer eligibility checks, claim or pre-authorisation submission and reconciliation (VHI, Laya, Irish Life, Level Health, PCRS/GMS) are not in the launch release; staff use each insurer's normal channels. A card-payment connection does not establish an insurer integration.
Use a small, consistent billing review
Ask staff to reconcile the invoice list with provider-confirmed payments and the clinic’s accounting process. Define the period and statuses used in any report. Check representative invoices and adjustments before relying on an export.
When assessing software, use the same examples across suppliers: an invoice correction, a failed payment and an outstanding balance. Ask for setup and third-party charges as well as the subscription price. Measure improvements from your own records rather than assuming an advertised saving applies to the clinic.
Inspect the workflow before adopting it
The Brigid sample practice uses invented records and requires no sign-up. Use it to explore the administrative layout, then bring your billing exceptions to a guided walkthrough. Review pricing, connection status and the current compliance evidence as separate parts of your evaluation.
Editorial correction, 3 October 2026: unsupported product, compliance and outcome claims in the earlier version have been replaced with a workflow-evaluation checklist. No customer outcome is asserted.

Frequently asked questions
Does an invoice marked sent mean it has been paid?
No. Staff should distinguish a payment request from a provider-confirmed payment and investigate unresolved differences.
Does this guide promise a financial return?
No. Costs and outcomes depend on the clinic’s workflow, configuration and actual use. Measure results from your own records.
