Refund and Cancellation Policy

This policy explains what happens to money when a practice starts, changes or cancels an Ask Brigid subscription, and how payments that patients make to their clinic through MyBrigid are refunded. It describes how our billing works. It does not take away any right you have by law.
If your practice has signed an order form with us, the cancellation and refund terms in that order form apply wherever they differ from this policy. The guarantees in section 4 apply to every practice, whether or not it has signed an order form.
1. Free trial
A practice's first Ask Brigid subscription starts with a 7-day free trial. The card is saved when you sign up and nothing is charged during the trial.
The trial is offered once. If the practice, or anyone using the same billing email, has had a trial before, the subscription starts without one and is charged from the start.
If you cancel during the trial, the subscription ends when the trial ends and you are not charged.
2. How you are billed
Subscriptions are billed in advance, by card, through our payment provider Stripe: monthly, or yearly where your practice is on an annual plan. The price is the one shown when you subscribe. VAT, where it applies, is shown on the invoice.
3. Changing plan
- Change at renewal. The new price applies from your next renewal. Nothing is charged or credited for the current period.
- Move up today. Stripe charges the difference for the rest of the current period straight away. The new plan starts once that payment succeeds; if it fails, you stay on your current plan.
- Move down today. The unused part of the current period is credited against your next invoice. It is a credit on your account, not a payment back to your card.
4. Our guarantees to every new practice
These are the guarantees on askbrigid.com. They apply to every practice that goes live on Ask Brigid from 1 October 2026, with or without a signed order form. "Go-live" is the day your practice starts using Ask Brigid for its patients, which is also the day billing starts.
- Run it alongside your current system for 90 days. For 90 days from go-live, nothing in Ask Brigid requires you to switch off or cancel your current system. If you decide to leave in those 90 days, tell us in writing (email support@askbrigid.com): your subscription ends straight away and we refund in full every subscription fee you paid, and the unused balance of any top-up tokens at the price you paid, within 30 days. Platform fees on patient card payments taken in that time are not refunded, because they relate to money your practice has already received.
- We move your data, and you don't pay unless you go live. Where we move your records for you (from HealthOne, Socrates, iMedDoc, a spreadsheet or paper), you check the moved records before go-live, and we fix anything missing or wrong. If we can't fix it to your reasonable satisfaction, you can decline to go live: nothing is payable, and the imported copies are deleted.
- Your first price is your price for three years. For 36 months from go-live, you can stay on, or move to, any plan we offered for self-service on the day you signed up, at the price you signed up at, with no increase at renewal. After that, a new price applies only from a renewal at least 30 days after we tell you about it in writing.
- Your data leaves free. You can export your practice's data at any time, in Settings, and on leaving. We never charge for an export.
5. Cancelling
You can cancel at any time in Settings → Billing, if your role in the practice includes managing billing.
- Cancellation takes effect at the end of the period you have already paid for. Until then everything keeps working, and you can change your mind and keep the plan.
- Apart from the 90-day guarantee in section 4, fees already paid are not refunded, including for the rest of the current month (or year, on an annual plan).
- After that date the app locks for the whole team until a plan is chosen again. Settings stays open.
- Cancelling does not delete your practice's records. Exporting and deleting a practice's data when it leaves follow the Data Processing Agreement (clause 10).
6. If a payment fails
If a renewal payment fails, we email the practice and the plan stays active for a 7-day grace period. You can pay the open invoice or update the card in Settings → Billing at any time during it. If the invoice is still unpaid when the grace period ends, the subscription is cancelled, and never sooner than 24 hours after our final notice.
7. One-off purchases
A clinical-intelligence reset is charged once, when you buy it, and restores your plan's AI allowance for the current period as soon as the payment goes through.
8. Payments patients make to their clinic
MyBrigid is free for patients. When a patient pays a deposit or an invoice in MyBrigid, or pays at the clinic through Ask Brigid, the money goes to the clinic, which is the seller. Whether a payment or deposit is refunded, and any cancellation fee, is the clinic's decision under its own policy. A refund goes back to the card that was used.
When a clinic refunds a patient payment, the platform fee Ask Brigid charged the clinic on that payment is not returned.
9. Purchases through Apple
Neither the Ask Brigid iPhone app nor MyBrigid sells anything through Apple's in-app purchase, so Apple's refund process does not apply to anything bought from us.
